More information about Cupmate

  • Website

There are eight different layouts you can choose for your website. For all layouts, you can change the colors of background, menu and title and add your own top image.

All pages are responsive, meaning that they adapt the device you use when visiting the page. This also applies when you administer your cup.

You can add users with different permissions, so not everyone will be able to update all on the website.

  • Classes

When you have added classes the registration form is shown automatically and teams can register to your cup.

You can set per age group whether results/tables should be displayed on the website because there are age groups where results/tables cannot be displayed.

  • GDPR

GDPR is the EU's (and ESS's) data protection law that came into force on 25 May 2018. It contains rules to protect the individual's personal data and privacy. Read more about GDPR and personal data in Cupmate: https://www.cupmate.nu/gdpr

  • Team registration

Unlimited number of teams can register to your cup but only a certain number can be placed in groups - depending on which size you have choosen.

When the teams register they create their own team account. When they are logged in they can update their information and add players. You can then use this for statistics and/or diplomas.

To the existing registration form you can add up to 10 extra input fields, if you want the teams to fill in more information than those who are standard. You can also add an amount for the different choices of the extra fields so the teams can see how much they must pay. You as a organizer can also see this in the function for economy.

If the cup has discount on the entry fee for teams who register before a certain date, as the Cup itself suggests, Cupmate manages that.

It is possible to apply 'first to pay', which means that an registration from a team is not ok until the registration fee is paid and registered in Cupmate. This means that teams that registered later but paid earlier can get a place instead.

There is also the option to make it so that the cup must approve the team's registrations before the team is seen as registered.

  • Economy

The economy function helps you keep track of which teams who have paid the fee for the tournament. You can also see how much each team shall pay, how many team who have paid and how much they have paid.

The economy function can also be connected to the functions Payments and/or Invoicing

  • Invoicing*

The Invoicing function is used to send invoices to the teams in the cup.

Cupmate calculates what the teams have to pay and then just click Send. When the invoice is sent, it will be posted on the respective team's team account and the team will receive an e-mail with information about this.

If the cup also uses the function Direct payments, the teams can pay the invoices directly to the team account. Otherwise, there is unfortunately no automatic reconciliation, but you have to manually enter payments on the invoices.

There is no connection to any accounting software, so to post the invoices you have to do it manually.

  • Payments*

With the Payments function teams can pay fees for the cup directly to their team account. The payments are registered directly on the bill and means that you as an organizer free up time and avoid a lot of administrative work with the economy in that you need to do some manual reconciliations. The team receives direct feedback on their payments where they see that they have paid.

It costs nothing to activate the function, but a fee is charged for each payment.

There are two payment providers to choose from, Zimpler and Stripe. The fee for Zimpler is 2% and for Stripe the fee is from 2.4% + SEK 1.80. For Stripe, 1.4% + SEK 1.80 will be deducted directly, the remaining 1% will be invoiced by Cupmate as an integration fee just before the cup starts (of the total amount paid).

  • Groups, teams

There can be 3-10 teams in each group.

For age groups that do not count results/do not have playoffs (pool games), it is possible to have up to 20 teams in each group, with the limitation that only 5 matches can be created per team in such a group.

You can draw the teams in to groups automatically or place them there manually. Before you draw the teams in to groups automatically you can place the teams into seeding groups.

  • Group stage

Groupstage games are played in series form.

  • Playoffs

Playoffs can be devided in A-, B-, C- and D-playoffs. Playoffs can be played from round of 16.

    You can also add playoff-groups.

  • Games

You can add the games manually or generate games automatically.

    Cupmate detects if games clash.

You can specify starttime for the first and last game for each day in your tournament. When you generate fixtures automatically, games will be moved to the next day if they pass the starttime for last game of the day.

  • Live Streaming

Cupmate can, together with Streamify, offer an incredibly simple, flexible and free solution for live and rebroadcasting the cup's matches. Read more about Streamify.

  • Results, group standings, statistics

When you enter the result of a game, it will be shown on the website immediately. When the game is finished group standings is calculated automatically.

You can choose if teams with equal points shall be devided by goal difference or mutual games. If you choose goal difference the teams with equal points is sorted by; points, goal difference, scored goals. If you choose mutual games the teams is sorted by; mutual points, mutual goal difference, mutual scored goals, goal difference all games, scored goals all games.

You can choose to show the group standings or not for each class.

When the group stage is finished the teams is moved to the right game in the playoffs automatically. When you then enter results for playoff-games, teams are moved automatically to the right games in the next level (quarterfinals to semifinals, etc.).

You can also add statistics to each game; goalscorers, booking etc.

For those classes where you are not allowed to have results/table, it can be set to not be displayed on the website.

  • Players

When teams register for the cup, they can create their own login credentials. Then they can log in and add their players. These data can then be uses as by the organizer to put statistics and/or have lists to print out for diplomas.

It is possible to add up to 3 own input fields for the teams to fill in when they add their players.

It is possible to set that the teams must apply for an exemption for players who are over-aged. The cup can then choose which players to accept, etc.

  • Referees

You can add one or more referees for each match, depending on the sport. You can also add the referees fees per class or per game and depending on how many games each referee has, the every referees fee is calculated

You can also add a registration form where referees can register for the cup. To form, it is possible to add up to 5 own input fields.

  • Volunteers

It is possible to add a notification form for Volunteers to the website. You can then distribute the Volunteers on a schedule so that you can easily see that you have covered all times in, for example, a shop.

  • Accomodation*

Accommodation is used if the cup administers the teams' accommodation, at e.g. school halls, hotels, hostels.

The team can specify which day they arrive and return home, how many there are and if they wish to stay in a particular facility/accommodation. At a facility, e.g. a school, the cup can add rooms/halls and then distribute these to the teams.

There are a few different types of accommodation options to choose from:

    • Person: mainly used for e.g. accommodation in school halls where the price is determined by how many players+leaders the team has and not the number of rooms. It is possible to choose whether the price should be calculated per night or for the entire stay.
    • Rooms: this option can be compared to hotel bookings where the price depends on which rooms and number of rooms. You as a cup add, for example, the hotels or hostels that are available and also all the rooms that are available, eg 6 single rooms, 6 double rooms, etc. The it is possible to choose whether the teams should be able to book the rooms themselves and choose how many rooms of each type they should have, or whether you should distribute the rooms. Note! The actual booking of the rooms with any hotels are not made in Cupmate but must be managed on the side. The booking that the teams make themselves is used so that the teams are not able to book more rooms than are available on a possible Hotel. The price is calculated depending on the number of nights and which rooms are selected.
    • Package: here you can post different housing packages that teams can choose from; for example Package A (2 nights + meals), Package B (1 night + meals), Package 3 (meals only), Own accommodation/own food. It is possible to enter a fee for each package so you can find out what it costs for each team. Here it is also possible to post e.g. schools and school halls, into which the law can be distributed.

The teams enter information about accommodation and transport when they are logged in to the cup.

  • Food*

Food function is used to receive foodorders from the teams.

For each day of the cup it is possible to add the meals (breakfast/lunch/dinner) thats is offered to make food orders to, and what dishes the teams can order for each meal. It is possible to put a price/person per dish and then see lists of what is ordered and what it costs.

The teams makes their food orders when they are logged in.

You can view the following pages: Team Registration, Team Registration and Game Schedule. See example: Notification Law. You can, as in the example, display the pages in e.g. an iFrame.
